Fraud Prevention in Offers, Prices, and Contracts

A real-world example from the chemical industry

Initial Situation

The company is expanding into new markets such as Eastern Europe. As new customer and partner relationships are established, fraud risks arise from manipulated quotes, altered prices, falsified order data, or contract terms that are changed retroactively.

Problem

In the event of a dispute, it is often difficult to prove which document was actually sent originally. Customers, partners, or third parties might claim to have received a different quote; price components might have been altered; or an order might be based on a tampered version of the quote.

timeproof solution

The company applies an electronic timestamp to quotes, price lists, or contracts before they are sent. When an order is received, the accompanying quote can be verified against the originally timestamped version of the document. This makes it possible to objectively determine whether the document has remained unchanged or has been tampered with.

TSS 500 is particularly well-suited for this purpose, as it creates electronic timestamps accurate to the second for data objects such as PDF and Word documents or business transactions, and reliably documents the integrity of a document’s state at a specific point in time. For very large volumes of documents, eRecApp can be used, as it obtains a timestamp for a group of documents and customizes it for each individual document.
